How to Configure Your Email in Blina Desk

Blina Desk AI lets you send and receive email from your own business domain. You provide your IMAP/SMTP credentials — Blina connects to your mail server, syncs messages, and lets you send directly from the platform. Your credentials are encrypted and never visible to anyone.

Step 1 — Open Email Settings

In the sidebar, go to SuperAdmin Email Accounts. Click Add Account.

Step 2 — Enter Your Credentials

Fill in the form with the settings from your email provider:

Gmail (Google Workspace)

  • IMAP Server: imap.gmail.com, Port: 993, SSL: On
  • SMTP Server: smtp.gmail.com, Port: 587, STARTTLS: On
  • Username: your full email (e.g. [email protected])
  • Password: you must create an App Password in your Google Account → Security → 2-Step Verification → App Passwords. Regular passwords do not work.

Microsoft 365 / Outlook

  • IMAP Server: outlook.office365.com, Port: 993, SSL: On
  • SMTP Server: smtp.office365.com, Port: 587, STARTTLS: On
  • Username: your full email (e.g. [email protected])
  • Password: if your organization uses Modern Auth (OAuth), contact your IT admin to enable SMTP AUTH for your account. Otherwise use your regular password.

Custom Mail Server (Hetzner, IONOS, Hostinger, etc.)

  • IMAP Server: usually mail.yourdomain.com, Port: 993, SSL: On
  • SMTP Server: usually mail.yourdomain.com, Port: 587, STARTTLS: On
  • Username: your full email address
  • Password: your mailbox password

Step 3 — Test Connection

After entering the credentials, click Test Connection. Blina will try to connect to both IMAP and SMTP. If successful, you will see a green confirmation. If it fails, double-check:

  • Server address and port numbers
  • SSL/STARTTLS settings
  • Username (must be the full email address)
  • Password (use App Password for Gmail)
  • That your provider allows IMAP access (some have it disabled by default)

Step 4 — Start Using Email

Once connected, go to the Email module in the sidebar. Blina will sync your inbox automatically. You can:

  • Read and reply to emails
  • Send new emails from your business address
  • Link emails to CRM contacts and accounts
  • Track all outbound emails in the Email Log

Security

Your email credentials are encrypted before being stored. They are never displayed in the UI after saving, and they are never shared with any third party. Blina connects directly to your mail server — we do not route your email through our systems.
